Frequently Asked Questions (FAQ)

Q1: What is the primary function of the "Educational Material Sending Management" interface, and how does it help staff manage the sending process?

A: The "Educational Material Sending Management" interface provides a centralized platform for staff to manage all notification records related to sending educational materials. It offers an integrated list that allows staff to track detailed information such as subject, mailing method, number of packages, announcement period, and status, while enabling actions like adding, editing, or searching notifications. This effectively streamlines and optimizes administrative processes for sending educational materials.

Q2: In the "Sending Books" notification list, what criteria can staff use to quickly filter or search specific notifications? Also, what statuses can be filtered?

A: Staff can use dropdown menus in the "Sending Books" interface to select search criteria such as "Account," "Name," or "Mailing Number" to find specific notifications. Additionally, the system provides a radio button "Status Filter", allowing staff to filter notifications based on their status, with options including "All," "Published," or "Expired/Hidden." Once selected, clicking the magnifying glass "Search Button" executes the filter and search action.

Q3: When adding a new sending notification, what common information must staff configure, and what is the limitation for the subject?

A: When creating a new sending notification, staff must first set the notification’s "Subject," limited to 30 Chinese characters. Next, they must determine the notification's "Status", choosing between immediately "Published" or temporarily "Hidden". Staff must also set the visibility period of the notification for students. Finally, they select a "Mailing Method" via a dropdown menu, such as Postal Service or Yamato Express.

Q4: What is the function of the "Individual Sending Records" section in the "Add/Edit Sending Notification" form, and what key details does it allow administrators to record?

A: The "Individual Sending Records" section, located at the bottom half of the "Add/Edit Sending Notification" form, allows administrators to batch-enter detailed mailing information for multiple packages simultaneously. Administrators must fill in the recipient’s "Account", each package’s unique "Mailing Number" (tracking or shipping code), and a brief description of the "Package Content". Additionally, it provides a field to inquire about "Sending Status", making bulk management efficient.

Q5: How can staff determine whether a sending notification has expired in the "Notification List"? What roles do the "Announcement Expiry Date" and "Expired" label play?

A: In the "Notification List," staff can determine if a notification has expired by checking the "Announcement Expiry Date". Once this date has passed, the system automatically adds a red "Expired" label next to the notification. Simultaneously, the "Status" field indicates whether the notification is currently "Published" or "Hidden." The "Expired" label serves as an intuitive visual cue, immediately informing staff that the sending notification is no longer active.

Q6: If staff need to edit an existing sending notification in the system, how should they proceed?

A: To edit an existing sending notification, staff must first select the targeted sending notification entry in the notification list of the "Sending Books" interface. Next, they click the provided "Edit" button, which opens an editing window, allowing staff to modify the details and settings of the selected notification. This feature offers flexibility, enabling administrators to adjust notifications whenever necessary.
